Behind every successful workforce management deployment is a team ensuring the technology delivers value long after implementation. From supporting multiple retail sites to helping customers streamline attendance, payroll, and compliance, Advannotech’s engineers play a critical role in keeping operations running efficiently.

In this edition of 10 Questions, we speak to Sanele Langa, Senior Systems Support Engineer at Advannotech, about the evolving retail workforce landscape, the growing role of biometrics and automation, and how intelligent workforce management is helping retailers gain greater visibility, improve accountability, and simplify day-to-day operations.

1. Many retailers still rely on manual attendance registers, disconnected clocking systems, and time-consuming HR processes. What challenges were you seeing in the retail sector before organisations adopted Advannotech’s Employee Data Management Application (EDMA)?

A: Many retailers relied on manual attendance registers and basic clocking systems that created challenges such as inaccurate attendance records, payroll discrepancies, time fraud, buddy clocking, and limited visibility of employee attendance across multiple branches. Managing workforce data was often time-consuming for HR and operations teams, especially when dealing with large numbers of employees and multiple sites. EDMA addressed these challenges by providing centralised, real-time attendance management and automated workforce tracking

2. You currently support almost ten retail sites across KwaZulu-Natal using the EDMA platform. What does your role involve, and why is ongoing technical support so important once a workforce management system has been deployed?

A: My role involves supporting almost ten retail sites across KwaZulu-Natal that use the EDMA platform, including assisting with device management, user support, troubleshooting, maintenance, training, and ensuring accurate time and attendance data. Ongoing technical support is critical because workforce management systems require continuous monitoring, software updates, device maintenance, and prompt issue resolution to ensure uninterrupted operations and accurate payroll processing. With more than  100 active EDMA users and over 1200 daily clockings across the Advannotech  EDMA ecosystem, reliable support is essential.

3. Retail is a fast-paced environment where every minute counts. How has EDMA helped retailers improve workforce visibility, attendance management, and day-to-day operational efficiency?

A: EDMA has significantly improved workforce visibility by providing retailers with real-time attendance information, centralised reporting, and secure clocking methods such as facial recognition, mobile clocking, and biometric devices. This allows managers to quickly identify absenteeism, late arrivals, and staffing shortages while reducing manual administrative work. The platform streamlines day-to-day operations and helps retailers make informed staffing decisions, improving overall operational efficiency.

4. Advannotech is currently developing a WhatsApp-based weekly timesheet approval feature. How will this functionality work, and how will it help employees and managers improve attendance accuracy, transparency, and payroll verification?

A: One of the exciting developments currently being rolled out is a WhatsApp-based weekly timesheet approval process. Through this feature, employees will receive a weekly summary of their clocking records and total hours worked directly on WhatsApp, allowing them to review and either approve or decline their recorded hours. If an employee identifies any discrepancies, they can raise them immediately for investigation. Managers will also have visibility of the approved timesheets and can review cases where non-productive (NT) hours, absences, overtime, or anomalies are recorded, providing explanations and approvals where required. This creates a more transparent and collaborative process between employees and management, improves accountability, reduces payroll disputes, and significantly streamlines weekly attendance verification.

5. Retail businesses often operate multiple branches with hundreds of employees. How does EDMA give HR, operations, and store managers a single view of attendance, shifts, and employee activity across multiple locations?

A:EDMA provides HR, operations, and store managers with a centralized platform that consolidates attendance, shift schedules, and employee activity across multiple branches. Retailers can monitor workforce activity across all stores from a single dashboard, making it easier to manage employee movements between locations, track attendance trends, and generate accurate reports. This visibility is especially important for multi-site operations such as Save Group, which manages approximately 960 employees across several branches.

6. Time fraud, buddy clocking, and payroll discrepancies can be costly for retailers. How does EDMA help businesses improve accountability while reducing manual administration?

A:Advannotech EDMA improves accountability through biometric authentication methods such as facial recognition and fingerprint verification, which significantly reduce buddy clocking and time fraud. Automated attendance records eliminate many manual processes that often lead to payroll errors and disputes. By providing accurate clocking data and audit trails, the platform helps retailers reduce administrative workload while ensuring payroll is based on verified attendance records.

7. Advannotech’s retail footprint in KwaZulu-Natal continues to grow. Why do you think more retailers are choosing EDMA over traditional time and attendance systems?

A: More retailers are choosing Advannotech Employee Data Management Application  because it offers a modern, scalable, and flexible workforce management solution that supports biometric devices, mobile clocking, handheld devices, and centralized reporting. The platform enables organizations to improve accuracy, reduce administrative burden, and gain better control over workforce operations. Combined with Advannotech’s 24/7 support services and strong regional presence, EDMA delivers greater value than traditional attendance systems.

8. Supporting multiple retail sites means every day is different. What are some of the most common requests or challenges your customers face, and how does your team ensure they continue getting maximum value from the platform?

A:Some of the most common customer requests include assistance with clocking devices, employee onboarding, attendance exceptions, reporting requirements, mobile clocking support, and troubleshooting hardware issues. Our team ensures customers continue receiving maximum value by providing 24/7 support, regular maintenance, user training, fast device replacement when required, and proactive monitoring to maintain optimal system performance across all sites.

9. Workforce management continues to evolve with cloud platforms, biometrics, automation, and mobile technologies. Where do you see retail workforce management heading over the next few years?

A:Retail workforce management is moving toward greater automation, cloud-based platforms, biometrics, mobile accessibility, and intelligent workforce analytics. Future solutions will increasingly leverage technologies such as facial recognition, mobile approvals, geolocation tracking, and automated workflows to improve efficiency and decision-making. Retailers will benefit from more real-time visibility, reduced administrative effort, and enhanced compliance through connected workforce management ecosystems.

10. If you could give one piece of advice to retailers still relying on manual processes or outdated attendance systems, what would it be? And what would you say to businesses considering EDMA as their next workforce management solution?

A: My advice to retailers still relying on manual processes or outdated attendance systems is to invest in a modern workforce management platform that provides real-time visibility, automation, and accurate attendance tracking. Manual systems often lead to unnecessary costs, errors, and inefficiencies. For businesses considering EDMA, I would emphasise its proven ability to manage large workforces across multiple locations, its flexible clocking options, robust reporting capabilities, biometric security features, and the strong technical support provided by Advannotech, making it a reliable long-term workforce management solution

As retail operations become increasingly distributed and data-driven, workforce management can no longer rely on manual processes and disconnected systems. Organisations need real-time visibility, accurate workforce data, and technology that scales with their operations.

As Sanele explains, the future lies in connected, intelligent workforce management that combines biometrics, mobile technologies, automation, and continuous support to deliver measurable business value. With solutions like Advannotech’s Employee Data Management Application (EDMA), retailers are not merely tracking attendance anymore; they’re empowering managers, improving compliance, reducing administrative burden, and building more efficient operations for the future.
